The estimate already walked in the door

You didn’t lose the job. You lost the follow-up.

Every morning, service-business teams across HVAC, plumbing, roofing, and remodel wake up to the same haunting backlog — hundreds of written estimates that went quiet after the second week. The homeowner didn’t say no. They said “later.”

Your CRM’s built-in nudges ignore this tail: they fire on every job, so most operators turn them off. BidRevive is the specialist that works one slice of the file — dormant estimates — and does it without adding a single login your team has to remember.

How it works

Three steps. You approve before anything sends.

Onboarding is the heaviest lift — usually a focused first session to import the file and approve the playbook. After that, BidRevive is built to keep its hands off your day; it only surfaces to you when a homeowner replies or asks a question that needs a human.

  1. Step 01

    Import your CSV

Drop in a CSV of dormant estimates. We map the columns, validate the rows, and surface duplicates or unverified contacts before you see them.

Import validation and duplicate handling are built in. The file is held until you sign off.

  2. Step 02

AI onboarding produces a Business Playbook

A per-account document — segmentation by homeowner type, permission and consent notes, and a calm schedule of email follow-up — in plain English you can edit.

Every segment in the playbook is named for the homeowner type, not an opaque AI score.

  3. Step 03

You approve the first message — then it runs quietly

We draft the first email; you read it, edit it if you want, and approve it. After that, the system only interrupts you on a real reply or an escalation.

Owner approval is required before any send. Hard declines close the file immediately.

AI onboarding · the Business Playbook

A per-account document, written in plain English.

AI onboarding turns a CSV of dormant estimates into a Business Playbook you can actually read — and edit — before any email goes out.

Segment

Explainable segmentation

Segments are named for the homeowner type they describe — “storm-season homeowner waiting on adjuster,” “spouse-decision pending,” “seasonal outdoor project.” You see why every account landed in a segment, and you can move it.

Permission

Permission and consent review

Each account gets a permission note: prior contact, opt-out history, and unverified contact details. Files with unresolved consent questions are held until you sign off.

Schedule

Schedule and pacing

A simple cadence — first email Tuesday, second next week, third two weeks later — paired with the times you have explicitly approved for send. BidRevive never sends outside that window.

Escalation

Escalation rules

What counts as a hot lead, what counts as a callback, what counts as an exception. The playbook spells it out so you are not surprised when we interrupt you — which is rare.

Owner control

It runs quietly. You still decide.

BidRevive tries to be the polite worker who only pings you when it matters. Three guardrails make that possible:

01

Owner approval before any outreach

Nothing sends until you have read and approved the first message. You can edit the wording. You can decline a specific account. You can change the schedule.

02

Hot leads and callbacks route to the owner

When a homeowner says “call me” or asks a question only you can answer, the message lands in your inbox. We do not bury it in a log.

03

Exceptions are an exception, not a flood

“Stop,” “not interested,” a clear no, a confirmed wrong number — each one closes the file immediately. The only other reason we ping you is when something genuinely needs a human.

Supported segments

Tuned to the shape of your backlog.

AI onboarding produces a per-segment Business Playbook — the same segmentation logic, retuned to the way dormant estimates pile up in your trade. One product, configured for the trade it serves.

Roofing

roofing

Storm-season estimates sit unsigned while the homeowner waits on the insurance claim.

A polite email nudge that asks whether the adjuster has replied — and keeps quiet if it has.

Siding & windows

siding-windows

Material price quotes expire in weeks; the signed contract sits in a different pile than the estimate.

A short email follow-up that re-anchors the original line items before the quote goes stale.

Remodeling

remodeling

Scope creep and spouse-decision delays push a yes out by weeks, then the original line items drift.

A patient email thread that names the original scope and offers to re-quote if the homeowner is comparing.

Decks & outdoor living

decks-outdoor-living

Seasonal timing matters — April estimates have to wait until August when the weather cooperates.

A seasonal check-in email that respects the build-out calendar instead of pestering mid-winter.

Landscaping & hardscaping

landscaping-hardscaping

Garden work can wait a full season; the original line items in the estimate often stop tracking the design.

A patient email that re-anchors the original design plan and offers a re-visit at the right time of year.

Concrete

concrete

Concrete quotes depend on pour windows and weather that can push a job out by weeks.

A schedule-aware email that checks in before the next pour window opens — and steps back once a date is set.

Painting

painting

Two-room estimates can quietly turn into whole-house negotiations, and the original scope drifts.

A friendly email that re-confirms the original scope before the homeowner decides on a larger project.

Specialty renovation

specialty-renovation

Custom work waits on permits or vendor lead times; the homeowner’s appetite shifts while they wait.

A patient check-in email that respects the lead-time calendar and offers to re-quote if scope changed.

Auto repair & body shops

auto-repair-body-shops

Insurance-supplement approvals and shop capacity push a written estimate from this week to next month.

A patient email that acknowledges the supplement timeline and re-checks before the bay is free.

Data, permission, and trust

CSV in. Email only. Nothing written back.

Phase 1 is deliberately small: a single intake and a single channel. Future integrations are on the roadmap — never faked.

Planned for later phases

CRM integrations and SMS are planned for later phases; Phase 1 is email-only and CRM-free. Today, we will not name a CRM or a channel that is not actually shipped.

Intake

CSV only.

You export dormant estimates from wherever they live today. We never ask for a CRM credential in Phase 1.

Outreach channel

Email only.

SMS, voice, and phone follow-up are roadmap items. We do not pretend they exist today.

Write target

None in Phase 1.

No CRM write-back, no booking creation, no job import. BidRevive delivers outcomes to your inbox, not into a system of record.

Permission

Per-account review.

Each Business Playbook flags opt-out history and unverified contacts. Files with unresolved consent are held until you sign off.

Trial & pricing
